Our client, a major financial services provider with operations across Europe, the Middle East, Africa, USA and Australia specializes in offering leasing and financing solutions for commercial vehicles and construction equipment. With a strong focus on standardized operations and scalable digital infrastructure, the organization faced increasing complexity in managing contracts, collections, and reporting across multiple jurisdictions.

The client aimed to implement a unified, standardized contract and collection management solution that could support multiple markets while ensuring adaptability to local requirements.

Challenges

Prior to implementing TotalSoft’s Charisma solution, the client faced a series of operational challenges that hindered efficiency and scalability. Contract management systems were fragmented across markets, leading to inconsistencies and duplicated efforts. Core systems such as origination, accounting, and invoicing lacked integration, resulting in disjointed processes and limited visibility. Many workflows—particularly in collections, restructuring, and early terminations—relied heavily on manual intervention, increasing the risk of error and delays. The organization also struggled to launch operations quickly in new markets due to the extensive local customizations required. Additionally, enforcing compliance and achieving process standardization across business lines proved difficult, further complicating the client’s ability to scale effectively.

Solution

The client partnered with TotalSoft to implement the Charisma Contract Management System and Charisma Collection Suite as part of a centrally managed, multi-country instance.

A key pillar of the approach was building a global template. This foundational model enabled standardization at scale while maintaining local compliance flexibility.

Key Functional Modules Implemented:

The solution implemented by TotalSoft included a comprehensive suite of modules designed to standardize and streamline operations across the contract lifecycle, invoicing, collections, and financial processes. The Contract Lifecycle Management component offered full coverage of contract flows, from origination and activation to restructuring, novation, and multiple termination scenarios (normal, early purchase, cancellation, total loss). These flows were supported by workflow automation for status transitions and validations, as well as integrated collateral and warranty management. The Invoicing & Payments module enabled automated issuance of installment and ad-hoc invoices (including subsidies, penalties, and supplier expenses), with support for downpayments, proforma, early purchase, and residual value invoicing. It also allowed bulk invoice generation and grouping by customer, contract, or dealer, fully integrated in real-time with the group-wide invoicing platform.

The Collections Management module was seamlessly connected to a CRM-based environment and featured automatic prioritization based on aging and promise-to-pay workflows. On the Financial Operations & Accounting side, the system supported integrations with third-party platforms for general ledger, accruals, write-offs, and provisioning. It also handled syndication and repurchase processes, revenue deferral, and contract-level tracking, alongside comprehensive end-of-term workflows and settlement calculations for varied closure scenarios.

For Reporting & Compliance, a centralized environment was implemented with automated data loads from Charisma, offering real-time visibility into contracts, partners, and payments, including KPIs such as Days Past Due (DPD), exposure levels, and penalty simulation reports. Templates were also available for external reporting and audit interfaces. Finally, Localization & Rollout Efficiency was achieved by limiting each market implementation to local legal and financial adaptations, supported by a shared change management and governance model. Legal archiving was enabled through OnDemand integration, and the partner structure was specifically tailored to the leasing sector, encompassing entities such as Lessee, Dealer, Insurer, Broker, and Investor.
